The venue is usually the first big decision in wedding planning, and it shapes nearly everything that follows: the date, the guest list, the budget, the style and even the menu. It is also the decision couples most often regret rushing. A beautiful space can hide expensive surprises in the contract, and a venue that looks perfect in photographs can feel very different when you imagine it full of your guests. Before you sign anything, work through these questions.
Before you start visiting
Agree on three things with your partner first: an approximate guest count, a total budget and a rough season or date range. Without these, every venue will seem either perfect or impossible. It also helps to decide whether you want the ceremony and reception in the same place, which saves time, transport and often money.
Availability and capacity
- Which dates are available in our range? Popular venues book up early for Saturdays in peak season. Fridays, Sundays and off season dates are often cheaper.
- What is the maximum capacity, seated and standing? A room that holds 150 for a standing reception may seat far fewer at round tables with a dance floor and a band.
- Is there a minimum guest count or minimum spend? Some venues require a minimum amount on food and drink regardless of how many people attend.
- Will there be other weddings or events on the same day? Shared spaces, overlapping schedules and other parties nearby can affect your experience.
Cost: what is included and what is not
The headline price is rarely the final price. Ask for a written, itemized quote and go through it line by line.
- What does the rental fee include? Tables, chairs, linens, tableware, lighting, a sound system, setup and cleanup?
- Are there service charges, gratuities or taxes on top? These can add a significant percentage to catering costs.
- Is there a cake cutting fee, corkage fee or charge for bringing in outside vendors?
- What is the deposit, and when are the remaining payments due?
- Are there overtime charges if the event runs longer than planned?
Vendors and catering
- Must we use in house catering or a list of approved vendors? Exclusive catering can simplify planning but limits choice and price negotiation.
- Can we bring our own alcohol? If so, is a licensed bartender required, and what are the corkage rules?
- Can we arrange a tasting before we commit to a menu?
- How are dietary requirements and allergies handled?
- Are there restrictions for photographers, florists or bands, such as insurance requirements or load in times?
Timing and logistics
- How many hours are included, and do they cover setup and breakdown? A venue that gives you six hours in total may leave only four for the actual celebration.
- When can our vendors arrive, and by what time must everything be removed?
- Is there a curfew or noise limit for music? Many venues, especially in residential areas, have a hard stop for amplified sound.
- Is there parking, and how much of it? Is the venue easy to reach by public transport or taxi, and is there space for a shuttle to drop off guests?
- Is the venue accessible for guests who use wheelchairs or have limited mobility, including restrooms and paths between spaces?
- Is there a private room for getting ready or taking a quiet moment?
Weather and backup plans
If you are considering an outdoor ceremony or reception, ask to see the backup space and imagine the whole day there. Is it attractive enough that you would not mind using it? Is there a cost to reserve a tent or indoor room as a backup, and by when must you decide? For summer weddings, ask about shade and cooling; for winter weddings, ask about heating and snow clearance.
Rules and restrictions
- Are candles, open flames, confetti, sparklers or rice allowed?
- Are there decoration rules, such as nothing attached to walls?
- Can we use the grounds for photos, including at sunset?
- Are there limits on the type of music, such as live bands versus DJs?
People and support
- Will we have a dedicated coordinator, and will they be present on the day?
- How many staff will be working during the reception?
- Can you share recent reviews or references from couples who married here?
The contract
Read the contract carefully before you sign, and never rely on verbal promises. Check the cancellation and postponement policy, what happens if the venue has to cancel, whether the deposit is refundable, and whether the venue requires you to buy event insurance. Make sure every detail you agreed on, from the timing to the included items, appears in writing.
Trust the visit
Visit at the same time of day and, ideally, the same time of year as your wedding, so you can see the real light and atmosphere. Walk the route your guests will take, from parking to ceremony to reception. Look at the restrooms. Then ask yourselves one last question: can you picture your day here? If the answer is yes, and the numbers work, you have found your venue.
